Invoicing/Receipt

Order Processing

What exactly happens now that an order has been placed?

  1. Automated emails – PHP mail supported or set other SMPT host. Included PHPmailer class has many options.

Upon completion of an order, the following emails are automatically sent

  1. Order details can be automatically emailed to your sales manager, warehouse, etc notifying them of the order.
  2. Customer is emailed.
  3. Customer Thank You; Your customer is thanked for their order, and hyperlinks are provided for access to your Extranet, order details, order tracking, etc.
  4. Sometimes you may wish for your vendor or a third party to get notification of the order as well.

Automatic database entry;

  1. All acquired customer and order information is logged to your database for immediate customer Extranet access, and internal use in your Intranet.

Admin Orders Editor;

  1. View an order
  2. edit an order
  3. mark it as shipped
  4. mark it as awaiting payment
  5. assign a new tracking number to an individual item within an order, you name it.
  6. Customers are automatically emailed too, as soon as their order, or an item within their order is marked as shipped, or you change its status. Your customers are always informed!  

Web-based Intranet Product Administration

This is the internal Admin Console, used to configure/manage your entire site. Anytime, anywhere, as long as you have access to the Internet, you have access to your Intranet.

Inventory Control Center

Edit such things as:

  7. Weight; Lbs and Kgs are supported!
  8. Package Dimensions; Length, Width, and Height fields. Not required.
  9. Quantity In Stock (QIS); Editable. ie: We have 3 Steel shaft Model xyz Titanium Drivers, and 4 with Graphite shafts in stock. However, the XYZ driver itself, would be 1 inventory item, but with numerous properties applied to it. Why enter the same item more than once?
  10. Flat-rate Shipping charge, if any
  11. Taxable Item; set for cart
  12. Sale Item & Discount Percentage (%). Amount and percentage
  13. Show It, Enable/Disable; Enter the products into your inventory/database, but show, or not show, the item on your website.

Reports

Web-based Administration
This is your external customer access point. Customers login, and use this to..:

    Real-time order and item tracking included.

    Accessing an order placed will also reveal its status, such as "Awaiting Payment", "Completed", etc.

    At any time, your customers may view their past orders from your Extranet.

  3. add multiple hotels and even sub-categories of Hotels (ex: one hotel with four properties)
  4. Set global properties, that don't affect price, for all hotels to give customers multiple choices. (ex: "Smoking/Non Smoking", "Single Bed/Double/King")

Create standard rooms or:

  1. set pricing based on buyer group (regular, best clients, travel agent, etc)
  2. set pricing based on date
  3. create an "inventory" of rooms based on availability per room per date

Book rooms from your inventory

  1. View the current inventory and adjust it as you like
  2. view lists of booking and individual orders
  3. Customers can see views based on all hotels and individual hotels
  4. Customers choose dates to check for availability then book online
