How to set up a Rental in IMS Voyager Rental Desk
package
A - Log into your Admin area of your IMScart installation with
your username and password. You must have "admin" permission to perform
this action.
In this Rental module, you will be able to create your Rental
companies with their respective rental options. Also with
the Option Generator, you will be able to create options with charges
and assign them to companies. First, start with the Rentals.
B - Click on Rentals in top menu bar
C - You have to create companies by clicking on "Add company"
in left menu.
- Choose parent level - It should be Rentals. All new companies
will be displayed in List companies as level 2.
- Publish: if checked, rental company will be displayed in your
IMScart
- Browse page: this is the browse page your IMS system will be
using. Do not change.
- List order: when you have several categories, you define the
display order of every tour category by entering a number; 0,1,2...
- Reservation Fee: optional - This a the percentage you want
customers to pay as deposit.
- Commission: This field is not being used for now in rental.
- Company owner: This field is not being used for now.
- Short description box: The short description is limited to 256
characters.
- Company description: This description needs HTML codes for the
formatting. Therefore you can use our Wysiwyg Editor to generate
HTML without knowing it. This text will be displayed on the company
page.
- Rental images: Do not use them with the Rental company.
D - Click on Add Rentals in left menu and select a company.
This is where you add the car categories for a specific Rental
company.
- SKU is a code for each rental. It must be UNIQUE.
- Category: Select the one car company for your rental
- Retail price: After rental is created, then you will be able to
add price.
- Publish: if checked, the rental will be displayed in your
IMScart
- Maximum number of these rentals: you enter a number for
availability.
- Display order: when you have several rentals, you define the
display order of every rental by entering a number; 0,1,2...
- Name: enter name of rental to be used on the Web pages
- Short description: maximum of 256 characters. It is used on the
result page generated by a search request.
- Long description: no maximum of text. HTML code must be used for
formatting. (not being used for now)
- Thumbnail: usually about 120 x 90 pixels. It will be used on the
Rental company page
- Full image: it is a larger image that is part of the descriptive
page of the Rental.(not being used for now)
- Then you SAVE your page and come back to the Rental to complete
price details.
Before adding price, you must add options or attributes if you need
to create sub-rental or items or child rental to be more specific. As
example, you want to offer rental for 1 to 7 days, 8 to 14 days and for
15 days+. It is obvious that the price per day will be different.
E - ADD attribute
- In my example, add attribute name would be: Min (for minimum
number of days) and the second attribute is Max (for maximum number
of days). With the first category of car, click on it and click ADD
attribute to add both of them.
- List order: Enter 0, since it is the first and SAVE.
- Now you must create child rental for each car category. One for
1 to 7 days, one for 8 to 14 days and one for 15 days +.
F - ADD item
- Normally, when you click in Add item, IMScart gets the details
from the parent Rental to define the child rental or the item.
- On the Rental information page, SKU is a unique code similar to
D -1. IMScart reads the parent SKU so to make it UNIQUE, you must
add other characters such as letters or numbers. If you are defining
a rental for 1 to 7 days, then after the SKU, add "-1_7"; no space
in SKU.
- Retail price: To be defined only after the item is created.
- Publish: same as D -4
- Display order: same as D -6
- Rental attribute: You should have the first one Min; where you
enter 1 (for 1 day) and for Max, you enter 7 (for 7 days).
- Name: Same as in Parent rental. With our example, I suggest you
add "-1 to 7 days" to the existing name for the rental item.
- Then you SAVE. After saving, go back to the same rental item and
add the price.
- You can add more items by clicking "add item" in the left menu.
After saving you have the info for your item. Then click on the name
of the rental (which is a link) and it will bring you in the "update
rental form".
G - UPDATE an item with price.
- Click on the word "none" at the right of the price.
- Click on the ADD button
- Currency: this is the one already defined in the Store module
but can be changed for that specific rental.
- Shopper group: the default on is the one for all shoppers. If
you define other shopper group in Shopper module, you can create
special prices. Visitors must be registered and shopper group
assigned by you, so they can access their pricing.
- Then you SAVE.
- Now to verify what you have done, click on Shop in the top blue
bar and see the new details.
H - CREATE inventory
- Now you have to create inventory for each rental including items
you created. Click on "create inventory" in left border.
- Select the month of "season start" and enter the number of
months to reach "season end" date. If you have Season start March
1st and Season end October 31st, select March and 8 for number of
months to display them.
- Then by using the calendar, click on the "season start" date
that will be found in Start Date on the right. Do the same for the
Season end date.
- Select ADD radio button.
- Number : Value representing the number of available car
- Regular price: You can enter a different price if you need to.
Let's say you want to put a different price for the period Dec 15th
to Jan 15th, you can do it by defining the dates for that period.
- Include: check the box and click on "Update inventory". It takes
few seconds to read all the data from the database.
- If you want to change either the number of rentals or the price
, redo item H2 to H6.
- When you are ready, click on "Update inventory".
I - Create Options
- Click on Store in top blue bar.
- Click add options
- Add the name of the option: Example: child seat
- Add the description
- You can choose the type: Regular text, input box, radio button
or checkbox.
- Add a price if any
- Show public: you should choose Yes.
- Add the public name
- Save the option and now you can Add values.
- After answering the values, click SAVE.
- Now each options created, are available for each Car company.
Select one car company and click on the link "Select options" in the
middle of the page and check the one you want for that Car company
and Save.
For display selection in V3.0 -
You can select a date by clicking on it in the calendar - as a result
"Pick-up Date" and "Drop-off Date" will be selected in the form. Also
you can change these dates in the dropdowns - "Pick-up Date" and
"Drop-off Date".
To see number of available units in the particular date - you need to
hover mouse cursor over this date in the calendar => as a result you'll
see number of available rentals in the right block.
When you click on a rental name in the right block, then this rental
will be selected in the "Vehicle" dropdown in the form.
